Check My Entry (“we”, “us”, “our”) provides QR-code guest invitations, event check-in, and attendance reporting services. This policy explains what information we collect, how we use it, and the choices you have.

Information we collect

• Client/organizer details — name, email, phone/WhatsApp number, and event details you provide when you contact us or sign up as a partner.
• Guest details — names, contact information, table/section assignments, and QR code payloads, which organizers share with us to generate invitations.
• Check-in data — scan timestamps and attendance status recorded by our team or scanning app at your event.
• Technical data — basic usage data (such as pages visited) collected automatically when you use our website or portal.

How we use information

• To generate and deliver personalized QR invitations via WhatsApp or email.
• To operate check-in at your event and prevent duplicate entries.
• To produce attendance reports for the event organizer.
• To respond to enquiries submitted through our contact and partner forms.
• To maintain the security of our portal, including guarding against unauthorized access.

How we share information

We do not sell guest or client data. We share information only with:

• The event organizer who supplied the guest list, for their own reporting.
• Service providers who help us operate — such as our email delivery and hosting providers — solely to perform the service on our behalf.
• Authorities, where required by law.

Data security

QR codes carry encrypted payloads, and access to our admin portal is restricted to authorized staff. We take reasonable technical and organizational measures to protect the data we hold, but no system can be guaranteed 100% secure.

Data retention

We retain guest and event data for as long as needed to deliver the service and provide post-event reporting, and afterward for a reasonable period to support the organizer, unless a longer period is required by law.

Your choices

Organizers may request access to, correction of, or deletion of guest data they provided by contacting us at hello@checkmyentry.com. Guests with questions about an invitation they received should reach out to the event organizer or contact us directly.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the date at the top of this page.
